How to write a contractor estimate with ChatGPT

Free lesson 1 · About 10 minutes · Updated October 14, 2026. By AI Automation Education.

A fast, clear estimate wins jobs. ChatGPT can turn your rough notes into a clean scope of work and a priced estimate draft in a few minutes. You still check every number. Here is the exact way to do it.

Free download: a contractor estimate template (Excel / Google Sheets) with line items, markup, tax and a terms sheet.

ChatGPT writes the wording. It does not know your material prices, local codes or what the job really involves. Treat its output as a draft and check every quantity and price before a customer sees it.

Step 1. Write messy notes first

Do not try to write well. Type or dictate what you saw on site: measurements, materials, problems, what the customer asked for, what is not included. Rough is fine. The more real detail you give, the better the draft.

Example notes: Mrs. Alvarez, 1,850 sq ft ranch. Tear off 1 layer asphalt shingles, 2 soft spots in decking near the chimney (maybe 4 sheets plywood). New synthetic underlayment, drip edge, architectural shingles, 3 pipe boots, ridge vent. Dumpster. Customer wants it done before hurricane season. Not included: gutters, fascia rot if we find it.

Step 2. Paste this prompt

Replace the bracketed parts, then paste your notes underneath.

You are helping a [trade] contractor in [city, state] write a customer estimate. From my job notes below, produce: 1. A plain-English scope of work in short numbered steps a homeowner can understand. 2. A line-item list: description, quantity, unit. Do NOT invent prices. Leave unit cost blank. 3. A short "Not included" list. 4. A short "Assumptions and things that could change the price" list, such as hidden damage or permit fees. 5. Three questions I should ask the customer before sending. Keep the tone professional and friendly. Do not promise a timeline or a warranty I did not mention. My notes: [paste notes here]

Step 3. Fill in the prices yourself

Copy the line items into the free template. Enter your own unit costs from your supplier quotes and labor rates. The template adds markup and tax and totals everything, so you are not trusting an AI to do arithmetic.

Step 4. Check it like the customer will

Step 5. Make the final version

Paste the scope and assumptions into the template's terms sheet, add your business name, license number if your state requires one, and an expiry date for the price. Export to PDF and send.
