Turn voice notes into a scope of work with AI

Free lesson 3 · About 8 minutes · Updated October 14, 2026. By AI Automation Education.

You are on a roof or under a sink. You do not want to type. Talk through the job on your phone, then let AI turn the ramble into a clean scope of work.

Step 1. Record a voice note

Use your phone's voice memo or the dictation button on your keyboard. Walk the job and say: measurements, materials, problems, what the customer wants, what you will not do. Two minutes is plenty.

Step 2. Get the text

Dictation gives you text right away. If you recorded audio, many phones can transcribe it. Paste the transcript into ChatGPT or any AI assistant you already use.

Step 3. Paste this prompt

Turn this job walk-through transcript into a customer-ready scope of work. Rules: - Use short numbered steps in plain English. - Fix obvious speech errors but do not add work I did not mention. - Put anything unclear in a separate list called "Questions to confirm" instead of guessing. - List exclusions I mentioned under "Not included". - Do not include prices. Transcript: [paste transcript]

Step 4. Check the "Questions to confirm"

This list is the most useful part. It catches the things you said half-clearly on site: a measurement, a brand, a color, whether permits are included. Answer them before you price.

Step 5. Price it and send it

Use the free estimate template to price the scope and add terms. Read it once as the customer would. Send.

Privacy tip

Leave out full addresses, phone numbers and anything you would not want in an AI tool's history. A first name and a job type is enough. Check your tool's privacy settings.
